PROTOCOLS
& EXPECTATIONS

WYO Club Volleyball uses a principles-based approach for all decision making. 

TOURNAMENT EVENTS

All licensed AAU events for 2024 and beyond must have a flyer with event dates, entry fees, locations, age groups, divisions offered, contact and registration information.

Things we take into account when sanctioning events:

  • Precedent (first right of refusal for event hosted properly previous years)

  • Location (we don't want conflicting events)

  • Tournament director experience (those who host tournaments must be qualified)

  • Gym availability (first come first serve, with all previous factors taken into consideration first)

AAU NON-QUALIFIERS

  • Minimum 8 teams per age division

  • Seeding form & Ranking system will be used for placement

  • WYO Club Site Director per location

  • Officials Required (certified recommended)

  • Coach/Rostered ADULT must score-keep

  • Adults or athletes line-judge

  • Live schedule & results posted on website and/or TM2 app

  • Report final finishes

  • 4 team pools, games played to 25 (intended goal)

  • Bracket play with medals to top finishing teams

ENTRY FEE: $225

  • Minimum 8 teams per age division

  • Site director per location

  • Officials Required (certified reccommended)

  • Coaches must score-keep

  • Adults or athletes line-judge

  • Adult score keeper

  • Schedule & results posted on website and/or app

  • Report finishes

  • May not conflict with other events

  • Limited number in region

  • 4 team pools, games played to 25

AAU QUALIFIERS

  • 16 teams in top division in each age division

  • Seeding form & Ranking system will be used for placement

  • WYO Club Site Director per location

  • Officials Required (certified recommended)

  • Coach/Rostered ADULT must score-keep

  • Adults or athletes line-judge

  • Live schedule & results posted on website and/or TM2 app

  • Report final finishes

  • 4 team pools, games played to 25 (intended goal)

  • Bracket play with medals to top finishing teams

  • Winning teams receive a bid to AAU Nationals, per AAU guidelines

ENTRY FEE: $300

WYO CLUB SITE DIRECTOR

RESPONSIBILITIES

Hold pre-tournament meeting with officials and coaches (enforce facility rules, parking, AAU rosters, rules, format, playoffs, assign protest committee, etc.); score sheets, pool sheets, line-up sheets, brackets, post schedule & results; resolve tie-breakers and other rules issues; record & report results; award medals; fill-out incident reports, inspect facility and ensure clean-up responsibilities are complete.

TOURNAMENT DIRECTOR 

RESPONSIBILITIES

Secure and pay for courts, help recruit officials, coordinate site directors, and medals; must communicate clearly 2 weeks prior to event regarding deadlines, venue location, and tournament expectations (facility requirements, number of spectators allowed, rules, etc.); ensure schedule posted on website is correct. Ensure all AAU rules are followed and proper tournament bracketing protocols are followed. Resolve any conflicts or questions as necessary.

COURT/VENUE RATING

WYO Club Volleyball will seek to use the highest quality facilities in each area whenever possible. 

___ Playable space available around court (minimum of 2 meters [6’ 6 ¾”] to 3 meters [9’10”] free zone) for serving and pursuit beyond court boundaries - If the service zone is less than 2 meters, a line shall be marked on the court to provide the minimum depth

 

___ Additional space for spectators (recommended minimum comfortable space for at least 10 spectators per team)

 

___ Net quality (able to raise to correct height measured from the center of the playing court with height over the two sidelines not exceeding the official height by more than 2 cm [3/4”], antennae, no shared poles, minimum 1.25 cm [½”] thick padding on posts to a minimum height of 1.7 meters [5’6”], and similarly padded official referee stand - no ladders)

 

___ Surface quality with correct dimensions of 5 cm [2”] boundaries around 18 x 9 m [59’ x 29’ 6”] court and attack line at 3 m [9’ 10”] (wood, sport court, cleanliness, flat, horizontal, uniform, safe [no roof/pipes leaking onto court])

 

___ Ceiling height (minimum 7 meters [23’] of free playing space above playing area)

 

___ Physical environment of venue with a consistent temperature between 50 and 77 degrees fahrenheit and lighting on the playing area a minimum of 300 lux (27.9 foot candles) measured at 1 m [39”] above the playing surface (lighting, heating, cooling, humidity control, and mitigation of sun glare)

 

___ Quality of Site Director/Officials

 

___ Bathroom accessibility, availability, cleanliness, stocked (# stalls per court)

 

___ Parking accessibility and availability (# stalls per court)

 

___ Venue houses/supports an affiliated AAU volleyball club (weeknight practices)

 

___ Affiliated AAU volleyball club is supporting collective tournaments (percentage of registrations)

 

___ Venue near teams that want to participate (easy access from major highways)

 

___ Number of courts available under one roof (qualifier atmosphere)

POOL & BRACKET PLAY

WYO Club Volleyball will follow proper protocol for seeding of events to ensure a fair and fun experience for all teams.

  • 3 team pools play 2 sets to 25 (cap at 27); plus one crossover match - 2 sets to 25 (cap at 27).

    • When crossover set is not possible, teams will play 3 sets to 25.​

    • 5th and/or 6th seeded teams after pool play may not qualify for bracket (check specific event format).

  • 4 team pools play 2 sets to 25 (cap at 27).

  • 5 team pool play 2 sets to 15 (cap at 17).

    • 5th seeded team after pool play may not qualify for bracket (check specific event format)​.
